The 4D Methodology

How we build your Zoho system.

Every engagement follows the same four-phase model. Every phase produces deliverables you approve. We don't proceed until you say so.

The Process

Four phases. Full transparency.

01
Phase One

Discover

We start by listening. Deep-dive workshops with your leadership and operations team to map your current workflows, identify where time is lost, and understand your clients' experience from intake to year-end. We don't recommend a single Zoho module until we understand your bureau.

Deliverables
  • Current-state workflow map
  • Friction point analysis
  • Priority opportunity list
  • Proposed Zoho module set
02
Phase Two

Design

We architect your full Zoho solution before a single line of code is written. Module selection, data architecture, automation rule logic, integration points, and user experience flows — all mapped and reviewed with you. You sign off on the design before we build.

Deliverables
  • Full system architecture doc
  • Automation logic diagrams
  • Integration map
  • Approved build scope
03
Phase Three

Develop

Agile build sprints with bi-weekly demos in a staging environment. You see real, working software at every checkpoint — not slide decks. Feedback loops are short. Changes are made before they compound. We don't go live until you say it's right.

Deliverables
  • Working Zoho build (staged)
  • Bi-weekly demo sessions
  • QA testing documentation
  • User acceptance sign-off
04
Phase Four

Deploy

Managed go-live with data migration, full team training, and 30-day stabilization support. Your staff launches confident, not anxious. We stay close through the stabilization period — available for questions, fixes, and fast adjustments as real-world usage reveals opportunities.

Deliverables
  • Production go-live
  • Data migration complete
  • Team training sessions
  • 30-day stabilization support
Engagement Models

How we work together.

Every bureau is different. We structure engagements to match where you are and where you're going.

Start with a discovery call.

We'll listen to where your bureau is today and outline what a Zoho engagement could look like — specific, honest, no obligation.
